Choosing an NDIS provider is one of the biggest decisions you will make as a participant or as a family member supporting someone with a disability. The right provider can make an enormous difference to quality of life, goal achievement, and overall wellbeing. The wrong one can cause stress, disruption, and wasted funding.

Melbourne has hundreds of NDIS providers, from large organisations to small independent operators. Here are 10 essential questions to ask before you sign a service agreement — questions that will help you separate the great providers from the rest.

1. Are You Registered with the NDIS Commission?

Registered providers have been audited against the NDIS Practice Standards and must meet strict quality and safety requirements. They are also required to use NDIS-screened workers. If a provider cannot confirm their registration number, check the NDIS provider register at ndis.gov.au before proceeding.

Registration matters more than ever in 2026. Mandatory registration now extends to more support types, including supported independent living — read our guide to the new SIL registration requirements to see what has changed.

TIP: Help at Hand Support Services is a registered NDIS provider. Our registration number is 4050075449.

2. What Services Do You Deliver — and Are You Registered to Deliver Them?

Providers can only deliver services they are registered for. Ask specifically about the supports you need, whether that is personal care, community participation, support coordination, or specialist supports. A good provider will be transparent about what is and is not within their scope.

3. How Do You Match Me with a Support Worker?

Support worker matching is one of the most important things a provider does. Ask how they consider your preferences, interests, language needs, cultural background, and gender preferences when selecting a worker. A provider that takes matching seriously will have a clear process to explain.

4. What Happens if My Support Worker Is Sick or Unavailable?

Consistency matters, but so does reliability. Ask what the provider’s backup plan is when your regular worker is unavailable. Do they have a pool of experienced workers who can step in? How much notice will they give you? How often do workers change?

5. How Do You Handle Complaints?

Every provider should have a clear, accessible complaints process. Ask who to contact if something goes wrong, how complaints are investigated, and what happens after a complaint is made. A provider that handles complaints well is a provider that takes quality seriously.

6. What Are Your Fees and How Are They Structured?

NDIS providers must charge no more than the price limits set out in NDIS Pricing Arrangements and Price Limits (formerly the Price Guide), but they do have flexibility within those limits. Ask for a clear explanation of all fees, including travel charges, cancellation fees, and any administration costs. Ensure these are documented in your service agreement before signing.

7. How Do You Communicate with Me and My Family?

Good communication is the foundation of a strong provider relationship. Ask how often they check in with participants, how they report on progress toward goals, and who your main point of contact is. If you prefer phone calls over emails, or need Easy Read materials, let them know and see how they respond.

8. What Is Your Experience with My Specific Disability or Support Needs?

Experience matters enormously in disability support. Ask whether the provider has experience supporting people with your specific disability, condition, or behaviour support needs. Ask about the qualifications and training of their staff. Do not hesitate to ask for references or case studies.

9. Can I Trial Your Services Before Signing a Long-Term Agreement?

Many reputable providers offer a trial or short-term arrangement before committing to a longer service agreement. This lets you assess the fit without being locked in. Be cautious of providers who push for lengthy commitments before you have experienced their services firsthand.

10. What Is Your Cancellation Policy?

Life changes, and sometimes you need to change providers. Ask about notice periods, exit fees, and what happens to any prepaid funds if you end the service agreement. The NDIS requires providers to have fair cancellation terms, but understanding them upfront avoids surprises later.
